Reservation and Payments
To make a booking you must send us a complete signed booking form along with a non refundable deposit of USD 300.00 per person. The balance payment is due not later than 90 days prior to the departure date. The failure to conform to this requirement will result in the cancellation of the reservation and forfeiture of the deposited amount. Bookings made less than 90 days prior to the departure date requires a full deposit of payments. Once the tour is booked and payment received in full we will provide you the confirmation. The detailed tour itinerary and related documents will be sent to you two weeks prior to departure date. Please make checks or money orders payable to Equinox Travel Adventures LLC. Charge card payments require certain information. Third party charge cards are not acceptable.

Amendments :
A handling fee of $50 per person will be charged for any alterations or revisions, spelling corrections to clients’ names after air tickets have been issued are subject to airline revision fees, in most cases airlines do not allow a name change to booked and issued air tickets, in that case a new booking will have to be made which will be subject to availability and the difference in fare will be applicable. A change of tour date or tour itinerary within 90 days of departure will be treated as a cancellation and treated as a new booking and will be subject to availability, the regular cancellation fees will be applicable.

Cancellation & Refunds :
Cancellations are to be received by us in writing and signed by the authorized person. Cancellations received 91 days before departure; the non refundable deposit will be retained. For cancellations received within 90 days of departure, the following per person cancellation fees apply:

Cancellation will be processed and penalties determined on date of receipt based on land arrangements of your tour booked. Processing of cancellation refunds will take approximately 6-8 weeks. Cancellation fees may also apply to any additional services, including accommodations, independently supplied services and optional excursions, reserved for prior, during or post tour. Additional fees will apply for any air and or train tickets already issued, subject to airline and railway regulations. If cancellation by one or more travelers alters or effects the requirement of rooms and related tour arrangements of the remaining travelers of a customized tour, the cost of the tour will be distributed amongst the remaining travelers who will be required to pay the applicable cost for tour arrangements.

We will make all effort to operate the tour once booked and confirmed at the cost and itinerary agreed upon. However, we will inform you as soon as we can, if for no fault of yours we are forced to significantly alter or cancel a tour and its cost in case of currency fluctuations, increases in transportation costs, including the cost of fuel, hotel rates, airfares, local taxes, insufficient number of tour participants or we deem it is unsafe to visit the destination due to political disturbance or any natural calamity. In case of any such unforeseen calamity, we will rearrange your trip for a later date for a similar tour, all rebooking will be subject to availability. If that tour is unacceptable, then the entire payment deposited will be refunded without further obligation or liability on the part of Equinox Travel Adventures. The penalties charged by airlines for tickets already issued will apply, in some cases the airfare may be non refundable. We shall not be liable to you for any incidental expenses incurred by you as a result of any arrangements that you may have made before we sent you the final confirmation of your itinerary. The tour services booked but not utilized during the tour are non refundable.

Airfares :
Equinox Travel Adventures reserves the right to issue air tickets once confirmed and paid for in totality, in conjunction with land arrangements or otherwise. The cancellation process will be processed only when we have received the paper tickets and written cancellation request for both paper and electronic tickets. The refund amount of cancelled ticket may take a minimum of 4 - 8 weeks. No refunds, either in part or in full, will be made for unused, no show air tickets, A service charge per booking will be levied for any amendment or cancellation. The cancellation fee for air tickets are subject to restrictions, regulations and additional penalties of the airlines used in most cases the air tickets once issued are non-refundable but could be used within one year of issuing date subject to availability and difference in air fare.

Hotels and Accommodation :
Hotel accommodations will be provided in hotels mentioned in the itinerary, in case of unavailability of specified hotel a substitute hotel of similar category will be provided. Accommodation is provided in standard rooms only, unless requested and is based on two persons sharing a room with basic private facilities. Single room accommodations are available at a supplement. Most hotel accommodation includes breakfast; however major meals are not included in the cost unless requested by you. Please note that it is standard policy that hotel rooms are not available for check-in before 1200 noon. Early hotel check-in requires a pre-night be booked and paid for. Check out time is 1200 noon. Late check out is subject to availability and approval of the hotel and could incur extra payment.

Travel/Medical Insurance Documentation :
You as a traveler take full responsibility for, and hereby release Equinox Travel Adventures from any duty of checking and verifying any and all passport, visa, vaccination, or other entry requirements of each destination, and all safety and security conditions of such destinations, during the length of the proposed travel. Please check with your respective government agencies, embassies or consulates that your passport is valid and that all necessary visas, certificates and other documentation are in order. Any and all consequences and/or expenses for improper, inadequate or invalid documentation are the responsibility of the passenger. We strongly recommend that you purchase a Personal Travel and medical Insurance policy prior to the commencement of your holiday which must include adequate cover for baggage, medical expenses and the cost of repatriation should you become too ill to continue the trip, including air ambulance and helicopter rescues.

Holidays :
Certain facilities such as museums and restaurants, monuments, sightseeing tours and shopping may be limited or not available during local or national holidays. Alternatives will be offered whenever possible.

Our Understanding :
Your booking is accepted on the understanding that you realize the hazards involved in these kinds of holidays, including but not limited to injury, disease, loss or damage of property discomfort and inconvenience. The outline itineraries provided and booked are an indication of the holiday each client should accomplish, and not as a contractual obligation on the part of Equinox Travel Adventures. This is a fundamental condition of booking any tour with us that you accept this flexibility, and acknowledge delays alterations and their results. During a tour, changes in itineraries may be caused due to unforeseen circumstances beyond human control such as political unrest, flight cancellations, mechanical breakdown, weather, border restrictions or other unforeseen circumstances. If you leave the tour at your own volition, or due to illness, or as a consequence of official action by the government of any country visited or choose not to complete an itinerary outlined for a holiday, we are not liable to supply alternate itineraries, accommodation, staff or services. No refunds will be provided for any services not utilized.

We reserve the authority to decline acceptance and or discontinue provision of services to any person as a member of a group or individual tour if it appears that, that person is endangering the health, safety, comfort and enjoyment of others on the tour or indulging in illegal activities. We further reserves the right to cancel any reservations if, for any reason whatsoever, any airlines, hotel or contractor refuses to allow the person concerned to participate in the tour. No refund will be given for services not utilized.

Privacy :
When making a booking with Equinox Travel Adventures you agree that, the information you provide may be used to support your customer relationship with the company and its suppliers. No information of your travel purchase is sold or given to any outside organization for marketing or solicitation.

Governing Law & Jurisdiction :
Any complaint is to be made in writing and should reach us within fourteen days from the date of return. We take no responsibility for any complaints/claims made and received by us after 14 days of your return. The materials in the site are presented solely for the purpose of promoting travel programs, services, and other products. When you complete the booking form you agree to accept all these conditions and by accepting your booking we agree to carry out our obligations to you as defined in the information provided to you. Both sides of this agreement are made subject to, and must be interpreted and enforced according to the law and jurisdiction of the state of New York, United States of America.
